    Executive operations that keep decisions and deadlines moving

    A national nonprofit needed reliable support for a chief executive managing a demanding calendar, several internal teams, external stakeholders, legal matters, investor conversations and governance responsibilities. My role was executive and administrative support, provided weekly.

    The work was not limited to calendar management. Every meeting, document, approval and follow-up needed to appear in the correct system, involve the correct people, and remain visible until it was completed.

    The Challenge

    Executive work arrived through email, chat, calendars, documents and verbal instructions. A single request could require several connected actions:

    • Review the executive's availability across multiple calendars.
    • Protect focused working time and preserve buffers between meetings.
    • Coordinate internal and external attendees across time zones.
    • Prepare or locate the supporting documents.
    • Create a review hold on the correct calendar.
    • Add the requester and allow them to modify the event.
    • Record the item in the approval tracker.
    • Include the tracker row number in the calendar description.
    • Draft the related correspondence for approval.
    • Log the time spent completing the work.

    Missing one step could leave the executive with an incomplete calendar entry, an untracked approval, or a document that could not be found when it was needed.

    What I Did

    I kept the executive's calendar, correspondence, meeting materials and review requests connected across Google Workspace, Microsoft 365, Smartsheet, Adobe Acrobat Sign, HubSpot and the organization's internal communication tools. The work included:

    • Coordinating executive meetings across multiple calendars and time zones.
    • Checking availability before proposing times.
    • Preserving travel time, working hours and meeting buffers.
    • Drafting correspondence in the executive team's established voice.
    • Preparing meeting agendas, speaker packages, decks, review materials and executive minutes.
    • Adding review items to the correct Smartsheet approval section.
    • Keeping calendar holds, tracker records, deadlines, requesters and document links aligned.
    • Preparing documents for sequential electronic signature.
    • Monitoring follow-ups until each item reached its next owner.
    • Maintaining a complete time record for administrative reporting.

    The Result

    The executive's coordination ran through the systems the organization already used. Meetings appeared on the correct calendars, review requests stayed visible, supporting materials were attached or linked, and follow-ups did not depend on the executive remembering every detail.

    It also created clearer accountability. Staff could see which items were awaiting executive review, requesters were included in the relevant holds, and completed actions were recorded consistently.
