Keeping executive reviews and signatures from disappearing into email
A growing organization handled agreements, funding submissions, membership documents, statements of work, legal materials and other executive approvals across email and shared documents.
It needed a dependable way to move each document from request to review, approval and signature. My scope covered the review requests assigned to me, not every document in the organization.
The Challenge
A review request could arrive by email or internal chat with little notice. The details were often spread across the message thread, the document, the calendar and the approval tracker. Each request needed the correct:
- ●Document and supporting attachments.
- ●Requesting staff member.
- ●Executive review date.
- ●Deadline.
- ●Calendar and event colour.
- ●Tracker category and row.
- ●Signing order.
- ●Signatories and signature fields.
- ●Status and follow-up.
Without a consistent process, an item could be reviewed without being recorded, entered in the tracker without a calendar hold, or sent for signature with incomplete signer information.
What I Did
I applied the same sequence to each review and signature request in my scope:
- ●Confirm the authoritative document and the deadline.
- ●Identify the requester and the required reviewers.
- ●Enter the item under the correct executive quality-control and approval category.
- ●Create a private calendar hold on the executive's calendar.
- ●Add the requester and allow them to modify the hold.
- ●Include the tracker row number and document details in the event description.
- ●Prepare the final signing copy.
- ●Confirm names, titles, signing order and signature locations.
- ●Send the document through a sequential electronic-signature workflow once approved.
- ●Record the completed work and the time spent.
The process covered membership agreements, executive letters, funding submissions, legal documents, project statements of work and vendor records.
The Result
The review requests I handled became traceable from the moment they arrived. The calendar, the approval tracker, the supporting document, the requester, the deadline and the signing workflow stayed connected. Documents went out for signature only after the executive had approved them.
The organization gained a clearer record of what needed attention, who owned the next step, and whether an item had been reviewed, approved or sent for signature.
