Closing a Customer Account Cleanly Across Four Teams

When a customer of a telecommunications services company cancelled, I ran the cancellation checklist across engineering, accounting, number inventory and E911. Billing stopped with no final invoice, the number was released and the records were closed, with every step written down.

    The Starting Point

A cancelled account touches several teams. Engineering has the service, accounting has the billing, the number is in the inventory, and the number has an emergency address registered to it. If one team is missed, the account is only partly closed.

    What I Did

I worked through the company's cancellation checklist across engineering, accounting, number inventory and E911, and checked each step was done before moving on.

Billing was stopped without a final invoice going out. The number was released from the inventory, and the records were closed.

I documented every step, so anyone looking at the account later can see what was done and when.

    What the Checklist Covered

    Engineering

The service was taken down on the engineering side.

    Accounting

Billing was stopped, with no final invoice sent to the customer.

    Number inventory

The number was released so the inventory shows it as available.

    E911

The emergency address record for the number was closed.

    Why It Matters

If one team is missed, a customer who has left can still get an invoice, the number cannot be given to anyone else, or an emergency address stays registered to a number that is no longer in use.

I ran one checklist across all four teams and wrote each step down, so nothing about the account needs to be closed again later.
