The Starting Point
A business owner used several email accounts. Client messages, supplier invoices, subscription receipts, payment notifications and routine updates arrived alongside personal correspondence.
The work needed clear rules for what required the owner's attention and which documents belonged in bookkeeping.
How the Work Connected
I set up a recurring review process across the accounts. I read messages before deciding whether they needed action, then filed informational mail under the appropriate client or administrative label.
For business expenses, I forwarded the relevant receipts and supplier invoices to Dext from the account that received them. I checked sent records first so duplicate copies were not forwarded again.
I kept incoming payment notifications separate from expense documents. In the personal account, only the agreed business advertising receipts went into bookkeeping; other mail followed the personal filing rules.
The process also distinguished an original invoice from a corrected version. When a corrected document arrived, I forwarded it and flagged that the earlier version was already in Dext so the bookkeeping record could be reviewed.
What I Delivered
A recurring review routine across the owner's inboxes.
Client and administrative filing rules.
Receipt and supplier-invoice routing to Dext.
Duplicate checks before forwarding.
Separate handling for incoming payments, business expenses and personal mail.
Flags for corrected invoices requiring bookkeeping review.
The Result
Inbox management and bookkeeping preparation became part of the same routine. Documents were routed to the bookkeeping intake system, informational messages were filed and the inbox was kept focused on the owner's next actions.
Tools and Skills Used
Email management, document classification, bookkeeping intake, exception handling and recurring administrative support.
