Service businesses (agencies, coaches, consultants, law firms, contractors, course creators) usually narrow their CRM shortlist to Keap, HubSpot, and ActiveCampaign. All three can capture leads, run a pipeline, send emails, and automate follow-up. The differences show up in pricing, invoicing, reporting, and how much setup work each one needs before it earns its cost.
This is the comparison I run for clients when they are stuck between the three. No affiliate links. Just where each one wins for a service business.
Pricing for a real service business
Headline pricing hides what you actually pay once the CRM does what you need.
- ●Keap Pro: about $199/mo all in, 1,500 contacts, includes automation, pipeline, quotes, and invoicing.
- ●Keap Max: about $299/mo, adds lead scoring, sales analytics, and stronger marketing automation.
- ●HubSpot Starter bundle: about $20/user/mo but automation is limited. Serious automation needs Marketing Hub Professional at around $890/mo.
- ●ActiveCampaign Plus: about $70/mo at 1,000 contacts, about $200/mo at 10,000 contacts. Sales pipeline unlocks at Plus, not Lite.
- ●At 10,000 contacts a service business pays roughly: ActiveCampaign $200, Keap $350, HubSpot $1,200+. The gap is real.
Lead capture and pipeline
- ●Keap: strong native forms, appointment booking, and a simple pipeline that connects to invoicing. Fastest path from lead to paid.
- ●HubSpot: best pipeline in the group, custom properties, deal stages, and forecasting. Also the most work to set up correctly.
- ●ActiveCampaign: functional pipeline, but designed as a companion to email automation, not the main event.
Email and automation
All three can automate. The philosophies differ.
- ●ActiveCampaign: most flexible automation builder in the group. Conditional content, event tracking, and dynamic segments are class-leading.
- ●Keap: campaign builder is powerful once learned, and the automation ties directly into invoices, tags, and appointments. Learning curve is real.
- ●HubSpot: workflows are clean and easy once you are on Marketing Hub Professional. On lower tiers automation is heavily limited.
Invoicing, quotes, and payments
- ●Keap: native quotes, invoices, subscription billing, and payment processing built in. This is the single biggest reason service businesses pick it.
- ●HubSpot: quotes exist, invoicing is basic, most clients bolt on Stripe or QuickBooks.
- ●ActiveCampaign: no native invoicing. You will pair it with Stripe, ThriveCart, or a bookkeeping tool.
Reporting
- ●HubSpot: best reporting in the group. Custom dashboards, attribution, and revenue reporting are strong.
- ●Keap: dashboards are basic but adequate for owner-operator businesses. Sales analytics improves noticeably on Max.
- ●ActiveCampaign: email and automation reporting is excellent. Pipeline and revenue reporting is basic.
Which one fits which service business
- ●Coaches and consultants selling packages: Keap. Native invoicing plus follow-up automation is the fastest path to paid.
- ●Agencies with 3+ salespeople: HubSpot if the budget is there, Keap if it is not.
- ●Course creators and membership businesses: ActiveCampaign, paired with a checkout tool.
- ●Law firms, financial advisors, contractors: Keap. Compliance-friendly, invoicing built in, and pipeline stays simple.
- ●Fast-scaling B2B service company: HubSpot. Reporting and pipeline maturity pay off.
Setup time and hidden cost
The tool cost is only half the equation. Setup and ongoing admin is the other half. HubSpot Marketing Hub Professional usually needs 40 to 80 hours to configure properly. Keap needs 20 to 40 hours to set up the pipeline, tags, and campaign builder well. ActiveCampaign is the fastest to launch at 10 to 20 hours for a solid setup. A CRM that is set up wrong costs more than the license.
