Valentina Akpan: Founder, Rellatech. Admin and technical virtual assistant for businesses and startups with teams.
Keap and Ontraport are both well into their second decade. Both pitch a 'business in a box' for service businesses, coaches, and course creators. Both have a real CRM, real automation, and native payments.
If you are weighing them against each other, you already know they look similar. The differences only show up when you sit inside both for 90 days.
Pricing in the real world
- ●Keap Pro: ~$200/mo all-in, 1,500 contacts.
- ●Keap Max: ~$300/mo, lead scoring and full marketing automation available.
- ●Ontraport Basic: ~$30/mo, 1,000 contacts, but you will outgrow Basic almost immediately.
- ●Ontraport Plus: ~$80/mo, 2,500 contacts, automation and forms included.
- ●Ontraport Pro: ~$150/mo, 10,000 contacts. This is where most serious users land.
- ●At equivalent feature parity, Ontraport is meaningfully cheaper for larger contact counts. Keap is meaningfully cheaper if you actually use the Keap Business Line phone and SMS features.
Where Keap wins
- ●Onboarding. Keap pairs you with a real human. Ontraport is more self-serve.
- ●Tag-and-campaign mental model. Once it clicks, it is faster to build complex flows than Ontraport's automation map.
- ●Keap Business Line. Native phone and SMS with a dedicated number is useful in real work.
- ●Native scheduling. Cleaner than Ontraport's calendar integrations.
- ●Network. More agencies and consultants know Keap, so it is easier to find help.
Where Ontraport wins
- ●Custom objects. Want to track properties, courses, or memberships as first-class records? Ontraport handles it; Keap does not.
- ●Reporting. Ontraport's reporting engine is materially better. Less exporting to Sheets.
- ●Membership and partner programs. Both ship out of the box; Keap needs add-ons.
- ●Page builder. Ontraport's built-in landing pages are better than Keap's.
- ●Bulk operations. Mass tagging, bulk updates, and CSV imports are smoother.
The direct dealbreakers
- ●Ontraport's automation map is powerful but confusing for non-technical users. If your team is going to maintain it, factor in training time.
- ●Keap's reporting is opinionated and limited. If you live in dashboards, you will export to Looker Studio or Sheets.
- ●Ontraport's email deliverability is good but not class-leading.
- ●Keap's API is older and has more quirks than Ontraport's. Integration builds take longer.
Which one to pick
- ●Pick Keap if: you want the faster on-ramp, you value the phone and SMS native integration, and you want a larger consultant network to pull from.
- ●Pick Ontraport if: you need custom objects, you live in reporting dashboards, or you are running a membership site as a major revenue line.
- ●Pick neither if: you need true enterprise CRM (HubSpot Enterprise, Salesforce) or you are running high-volume ecommerce (Klaviyo).
Migrating between them
Contacts migrate cleanly. Automation logic does not. Both platforms use different mental models for triggers and conditions, so you are rebuilding from scratch on the new platform. Budget 6 to 10 weeks for a clean Keap-to-Ontraport or Ontraport-to-Keap migration.
