Keap and HubSpot are the two CRMs small service businesses end up comparing most often. They look similar from the outside (contacts, pipelines, email, automation) but the way each one bills, scales, and breaks is very different.
I set up and maintain both for clients. Below is the direct breakdown of which one fits which kind of business.
Pricing reality
- ●Keap Pro starts around $199/mo and includes automation, pipelines, and invoicing on the same plan.
- ●HubSpot has a generous free tier, but the automation features small businesses actually need (workflows, sequences, custom reporting) sit on Marketing Hub Professional at around $890/mo.
- ●Per-contact pricing on HubSpot creeps up fast once you cross 2,000 marketing contacts. Keap pricing also scales by contacts but in slower jumps.
Automation power
Both platforms can do the automation a small business needs, but with very different philosophies.
- ●Keap (and Keap Max Classic) is built around tag-triggered campaigns. Once you understand tags and goals, you can build complex flows fast.
- ●HubSpot workflows are visual and easier for a non-technical owner to read, but advanced branching is gated behind higher tiers.
- ●If you want decision trees, multi-step waits, and re-entry logic, Keap Max Classic still wins on raw power per dollar.
Setup time and ongoing care
- ●A clean Keap setup for a service business takes 3 to 5 weeks. A clean HubSpot setup takes 2 to 4 weeks.
- ●Keap accounts decay faster if nobody manages them (orphan tags, broken campaigns). Plan for a quarterly audit.
- ●HubSpot decays more slowly but bills more per month, so the total cost of ownership ends up similar.
If you have one person who will manage the CRM long-term, Keap usually wins on cost and flexibility. If you need something a junior coordinator can maintain, HubSpot wins on clarity.
Who should choose Keap
- ●Solo consultants, coaches, and small service teams under 10 people.
- ●Businesses already on Keap Max Classic with valuable campaign history.
- ●Anyone who wants invoicing, pipelines, automation, and email on one bill.
Who should choose HubSpot
- ●Teams of 5 or more with a marketing person who will live inside the CRM daily.
- ●Businesses that need reporting dashboards leadership will actually read.
- ●Companies planning to add a sales team in the next 12 months.
The direct middle answer
For most established service businesses under 10 people, Keap is the better-value pick. For most teams of 10 or more, HubSpot's clarity and reporting earn its higher monthly fee. The wrong answer is jumping between the two every 18 months because nobody set up the first one properly.
