    The Keap Automation Audit: How to Find What's Actually Broken

    A repeatable audit you can run on any Keap or Keap Max Classic account to find the campaigns that are failing with no alert.

    Most Keap automations don't fail loudly. They fail with no alert. A campaign stops firing because a tag was renamed, a webhook returns a 404 nobody sees, or a Zap turns off after too many errors. You only find out months later, when revenue dips for a reason nobody can explain.

    The audit I run on every Keap account before I do anything else.

    Step 1: List every active automation

    • Export every published campaign in Keap and put it in a sheet
    • Add every active Zap that touches Keap (trigger or action)
    • Add every webhook URL Keap calls out to
    • For each row, note: last contact entered, last contact completed, last error

    Step 2: Sort by 'days since last completion'

    Any campaign with zero completions in the last 60 days is suspicious. Either nobody is entering it (a tag or form problem), or people are entering and getting stuck (a sequence problem).

    Step 3: Open the suspicious ones and check

    • Are merge fields pointing to fields that still exist?
    • Do 'Apply Tag' steps reference tags that still exist?
    • Do HTTP Post URLs return 200 when you test them in Postman?
    • Are sequences orphaned, with no goal pointing to them?
    • Are there contacts stuck in a wait step for 90+ days? That usually means a downstream condition never resolves.

    Step 4: Check the Zapier and webhook layer

    • Open Zapier and filter for 'Errored' Zaps in the last 30 days
    • Open each errored Zap and check the error message (usually expired auth or removed field)
    • Reauthenticate Keap inside Zapier if you haven't in 12+ months
    • Add an error-alerting Zap that posts to Slack or email whenever any Keap-connected Zap errors

    If you take one thing from this audit, set up the error alert. The single biggest reason Keap automations stay broken is that nobody knows they broke.

    Step 5: Document what's running

    Keep one shared sheet listing every active campaign, its purpose, its trigger, and the last person who edited it. Update it every quarter. This single document is what separates accounts that stay healthy from accounts that decay.
