    Infusionsoft Cleanup Checklist: 18 Things to Fix First

    An opinionated checklist for cleaning up a messy Infusionsoft (Keap Max Classic) account before it costs you another month of revenue.

    Most Infusionsoft accounts I open look the same: 400+ tags, 80+ campaigns, half of which haven't fired in two years, and a contact list with ten duplicates of every real person. The good news is that cleanup is mechanical work. You don't need to be a Keap genius to do it; you just need a checklist.

    Use this as an audit before hiring a consultant, or hand it to one as the scope of work.

    Contacts and lists

    • Dedupe contacts by email address (Keap's native dedupe plus a manual pass)
    • Archive contacts with no engagement in 18+ months and no purchase
    • Standardize country, state, and phone formatting on the contacts you keep
    • Confirm consent status (Opted In, Single Opt-In, Non-Marketable) reflects reality

    Tags

    • Export every tag. Sort by 'last applied' and 'contact count'.
    • Delete tags applied to zero contacts (almost always safe)
    • Merge duplicate tags (e.g. 'Webinar 2023' and 'webinar-2023-attendee')
    • Group remaining tags into clear categories: source, lifecycle, product, behaviour
    • Document what each surviving tag means in a single shared sheet

    Campaigns

    • List every published campaign. Mark each as Active, Stale, or Broken.
    • Pause campaigns that have not had a contact enter in 90 days
    • Open each Active campaign and confirm every email still has a working merge field
    • Check every HTTP Post and webhook step against the destination URL
    • Replace orphaned 'Apply Tag' steps that reference deleted tags

    Integrations

    • List every connected app (Zapier, webhooks, native integrations)
    • Disable Zaps that have not run in 60 days or have errors
    • Verify every form (Wufoo, Gravity, Typeform) still posts to the right campaign
    • Confirm payment integrations (Stripe, PayPal, Thrivecart) tag purchases correctly

    Reporting and hygiene

    • Rebuild one saved search per lifecycle stage (Lead, MQL, Customer, Churned)
    • Set a recurring monthly export of contacts who entered each main campaign
    • Set up a 'Broken Campaign Alert' (a Zap that pings you when a campaign errors)
    • Schedule a quarterly recurring tag audit
