Zapier is what connects Keap to the rest of a modern stack. Keap's own integration list covers a limited set of apps; Zapier extends that to most of the tools a business already uses. Zapier connections are also a frequent source of Keap automations that break with no alert, which is why the setup and the tests matter as much as the Zaps themselves.
A practical guide to setting up Keap and Zapier together so the connections stay reliable.
Setting up the connection
- ●In Zapier, search for 'Keap' (covers Keap Pro/Max) or 'Keap Max Classic' (the Infusionsoft one). They are different apps with different triggers and actions.
- ●Authenticate with the Keap account owner's login, not a team member who might leave
- ●Test the connection by listing contacts as the first sanity check
- ●Set the connection's name in Zapier to 'Keap [Company Name]' so it's obvious in multi-account workspaces
- ●Check the Zapier app's current documentation for which plan features it needs on the Keap side and the Zapier side. Trigger and action names, and the plans that include them, change over time
The Zaps most Keap accounts end up needing
- ●Form to Keap: any non-native form (Typeform, Tally, Jotform) creating or updating a contact and applying a source tag
- ●Calendar to Keap: Calendly or Acuity bookings creating opportunities or applying a 'Booked Call' tag
- ●Payment to Keap: Stripe or Thrivecart purchases applying product and customer tags
- ●Course platform to Keap: Kajabi, Teachable, or Thinkific enrolments updating lifecycle tags
- ●Keap to Slack: high-value events (new sale, application submitted) posting to a Slack channel
- ●Keap to Google Sheets: a row added for every new lead, for backup and reporting
- ●Error alert: a Zapier internal Zap that DMs you when any Keap Zap errors repeatedly
Check the supported route before building
Confirm the current trigger, action and account requirements in the platform's official documentation. Map the required fields and define what should happen for a successful event, a missing value, a duplicate event and a failed handoff. Test the agreed paths using an appropriate test method, then document the result and who will review exceptions. For a Keap Zap that means running these cases before you switch it on:
- ●Successful event: a real test record flows through and lands in Keap with every mapped field and tag correct
- ●Missing value: the trigger fires with an empty required field (no email, no last name) and the Zap either fills a safe default or stops and alerts, rather than creating a half-record
- ●Duplicate event: the same form is submitted twice, or the source app retries. The contact is updated, not duplicated, and any tag-triggered campaign does not restart
- ●Failed handoff: Keap rejects the request (bad date, invalid tag ID, expired token). The error is visible to a person, and the record can be replayed once it is fixed
- ●Write down what you tested, what you saw, and who checks the Zap history when an alert arrives
The mistakes that break Keap + Zapier integrations
- ●Using an update-only action when you meant create-or-update, so new leads drop with no alert. Check the current action names in the Zapier app and pick the one that handles both cases
- ●Forgetting to map the 'Owner' field, so leads land unassigned
- ●Sending dates in a format the Keap action does not accept. Use the format shown in the action's field help, and test with a real date
- ●Not handling the 'contact already exists with different email' case
- ●Letting the Zapier task limit cap out and pause Zaps without warning
Every Keap + Zapier setup should have one Zap whose only job is to alert you when another Zap fails. It is the cheapest insurance you can buy.
When to use webhooks instead of Zapier
Zapier is usually the right answer when a non-technical person needs to be able to see and edit the connection. Use direct webhooks (Keap's HTTP Post step) when the delay Zapier adds is a problem for the workflow, when you're sending data to a tool Zapier doesn't support well, or when Zap task volume would push you into a higher tier than the value justifies. Check Zapier's current plan page for how quickly Zaps run on each tier and how many tasks are included before you decide.
