    Building a High-Ticket Coaching Funnel in Keap (2026)

    High-ticket coaching funnels look nothing like a normal opt-in funnel. Nobody buys a fifteen thousand dollar container from a checkbox on a landing page. The Keap job is different: qualify the lead, route the good ones to a sales call, and keep the not-yet-ready ones warm for months without burning them.

    Here is the funnel I build in Keap for coaches selling three thousand dollars and up, and the numbers I ask them to track at each stage so we can tell what is working.

    The pieces you need

    • ●A long-form application (Typeform, Paperform, or Keap's native form)
    • ●A scoring layer that tags each application as qualified, maybe, or not a fit
    • ●A booking tool for the sales call (Acuity or Calendly)
    • ●A proposal and agreement tool (PandaDoc, HelloSign, or DocuSign)
    • ●Keap campaigns wired to move a contact through each stage
    • ●A simple report of how many contacts reach each stage, so decisions come from your own numbers

    Step 1: The application, not the free download

    For high-ticket, skip the ebook opt-in. The first ask is a real application with revenue, timeline, and budget questions. Asking those questions up front means people who are not ready for the offer can sort themselves out before they reach your calendar, and the people who do book have already told you where they stand. Push form answers into Keap as contact fields, not just as notes, so the tagging in the next step can read them.

    Step 2: Auto-tag on application submit

    The qualification rules below are an example. Set the thresholds from your own offer and the clients who have done well in it, then adjust them once you have seen a few months of applications.

    • ●Example rule: revenue over threshold but timeline is 'someday': tag 'Applicant: Nurture'
    • ●Example rule: below threshold: tag 'Applicant: Not a Fit' and enter a polite decline campaign
    • ●Do this with a Keap 'Form Submit' goal and decision diamond, not manually

    Step 3: Route qualified leads to a sales call

    Qualified applicants get a booking link. You can put it on the confirmation page, in a follow-up email, or both. I usually send it by email so the campaign records the booking and so the person books with a moment to think, but the right choice depends on your audience. Test it: run one version for a set period, then the other, and compare booked calls and show rate from your own report. Push booking confirmations back into Keap so the campaign knows a call was scheduled.

    Decide where the booking link lives from your own booked-call and show-rate numbers, not from anyone's rule of thumb. The stage counts described at the end of this article are what make that comparison possible.

    Step 4: Nurture the maybes for real

    • ●An example rhythm: a weekly email for the first two months, then monthly for the rest of the nurture period
    • ●Content is client wins, teaching, and one soft 'if you are ready, apply here' per month
    • ●If they re-apply and the answers change, the qualified tag fires and they enter the sales flow
    • ●Do not run a hard sales sequence at this segment. They are not ready and you will burn the list

    Step 5: Close the loop after the sale

    • ●Signed agreement fires a tag from your document tool via Zapier or Make
    • ●That tag ends the sales campaign, applies 'Client: Active', and starts onboarding
    • ●Retire the applicant tags so your reports stay clean
    • ●Add a check-in campaign a few months into the engagement so you know when to ask for referrals and testimonials

    Measure each stage before changing anything

    Track five counts per month: people who land on the application page, people who start it, people who finish it, qualified applicants who book a call, and booked calls that close. Once you have a few months of those numbers you know where the funnel leaks and you can change one thing at a time. Without them, every change is a guess.

    I do not give benchmark percentages, because they vary a lot by offer, audience and price. Measure your own funnel stages (application starts, completions, booked calls, closes) for a few months, then compare each month against the last. Your own trend is the useful number.

    Yes, but frame it as 'what is your comfortable investment range for solving this' with realistic bands. Asking 'do you have $15,000' scares off good-fit buyers who just have not thought about the number yet.
