What Tasks Should You Outsource First as a Business

The fastest way to reclaim 12 to 18 hours a week without losing control of your business.

Most growing businesses already know they need help. The problem is they have no idea where to start. So they keep doing everything themselves until something breaks.

You do not need to outsource your whole business. You just need to hand off the right five things first. This is the order I use with my own clients.

    1. Your Inbox

Email is the single biggest time drain for businesses. Sorting, replying, chasing, filing. It is also the easiest place to get help, because most of the work is repeatable once someone learns your voice and your priorities.

Hand off triage first, then templated replies, and then full inbox ownership.

    2. Your Calendar

Booking calls, rescheduling, prep notes, and follow-ups, none of which needs you. A good assistant protects your focus time, batches your meetings, and makes sure you never walk into a call cold. This is the core of what I do inside inbox and calendar management.

    3. CRM & Lead Follow-Up

Leads slip through the cracks because nobody is watching the pipeline. Tagging, sequencing, gentle follow-ups, updating notes after calls. This is where outsourcing pays for itself fastest.

A clean CRM is the difference between guessing and knowing where your next month of revenue is coming from.

    4. Recurring Admin

Invoicing, expense tracking, file organisation, weekly reports, document formatting. The small stuff that takes 20 minutes here and 30 minutes there and eats half your week.

    5. The "I Keep Meaning To" Pile

Every business has one, whether that is the cleanup project, the half-built system, or the folder you have been avoiding. Hand it to someone who can actually finish it, and you free up an entire mental track.
