    How to Know If Your Infusionsoft Account Is Too Messy

    A 12-question self-check to tell whether your Infusionsoft (Keap Max Classic) account is healthy, drifting, or actively costing you revenue.

    Most owners can feel that their Infusionsoft (Keap Max Classic) account is messy. They just can't tell whether it's annoying-messy or losing-revenue-messy. The direct answer matters, because the work to fix the two is very different.

    The 12-question self-check

    One point for each 'yes'.

    • Do you have more than 200 tags applied to fewer than 50 contacts each?
    • Do you have more than 10 published campaigns with zero entries in the last 60 days?
    • Have you opened a campaign and not been sure whether it's actually running?
    • Do you have contacts with more than 30 tags on a single record?
    • Have you renamed or deleted a tag in the last 12 months without checking every campaign that referenced it?
    • Do you have Zaps touching Keap that you haven't audited in the last 6 months?
    • Does at least one team member avoid going into Keap because it's confusing?
    • Have you ever sent a broadcast to a list you weren't 100 percent sure was the right segment?
    • Do you have duplicate contacts you've been meaning to clean up for more than 3 months?
    • Is there a campaign you 'know' is broken but haven't fixed because you can't trace where it breaks?
    • Do you have at least one custom field that exists but is no longer populated?
    • Have you ever paid for Keap Max Classic for 3+ months while barely using it because it felt too daunting to log in?

    Scoring

    • 0-2: healthy. Schedule a quarterly audit and you're fine.
    • 3-5: drifting. You're not bleeding revenue yet, but you will be in 12 months. A focused 1-week cleanup will reset you.
    • 6-8: actively costing you money. Broken campaigns and bad data are leaking leads. A full cleanup project (2-4 weeks) is overdue.
    • 9-12: time to either commit to a full rebuild or evaluate a migration. The account is functioning despite itself, not because of design.

    The most common score I see on first calls is 7. That tells me the account is past the point where the owner can fix it alone in a weekend, but well before the point where it has to be thrown out.

    What to do based on your score

    • 0-2: read the Infusionsoft Cleanup Checklist and run it yourself once a quarter
    • 3-5: block a week, run the checklist, and document what you change
    • 6-8: scope a cleanup project (with a consultant or as a focused internal sprint)
    • 9-12: get an outside set of eyes; you're too close to the account to evaluate it
