    An operations virtual assistant handles the repeated work behind the business: written processes, project coordination, vendor management, recurring reporting, onboarding steps, and the follow-up work that nobody else picks up.     What an operations virtual assistant does in a typical week

    • Runs the project coordination layer. Tracks work across the team and contractors, then chases what is stuck.
    • Documents the repeated processes. Pulls process knowledge out of the founder's head into a Notion or Google Doc the team can actually use.
    • Manages vendors. Contracts, renewals, seat audits, sourcing replacement tools when something is being outgrown.

    • Technical virtual assistant: protects the tool setup. CRM, automations, integrations, and web maintenance.
    • Most growing businesses past $500K revenue need at least two of the three. A senior generalist can cover any two; covering all three usually means a senior operator on the Partner tier.

    Operations virtual assistant vs part-time COO or operations manager

    • Part-time COO: sets operations strategy, quarterly priorities, org design, and P&L ownership. $250 to $500 per hour.
    • Operations virtual assistant: executes the operations work day to day inside the strategy. $35 to $80 per hour.

    How to vet an operations virtual assistant before hiring

    • Ask for a process document they have written. Look at the actual document. Quality of writing matters.
    • Ask how they handle missed work from a contractor. The answer reveals their coordination instincts.
    • Ask which operations tasks they will NOT take on. Generalists who say yes to everything usually deliver everything badly.
    • Ask what their typical first 30 days look like. The right answer starts with 'audit' and 'documented work plan'.
    • Ask for one engagement where they fired the client (or got fired). The story tells you everything.
